About Maintenance & Operations (M&O)
Maintenance & Operations is responsible for maintaining and operating the following areas:
- Custodial Services
- General building cleaning
- Trash/garbage collection
- Furniture relocation
- Grounds Maintenance
- Pest and animal control
- Irrigation system maintenance
- Athletic field maintenance
- Landscape maintenance
- Building Maintenance/Repairs
- Heating, ventilation and air-conditioning (HVAC) system
- Electrical
- Painting/carpentry
- Plumbing
- Building exteriors
- Fleet vehicle maintenance/usage
M&O uses an online work order system to manage non-emergency campus facility needs. It should not be used for situations where someone's health and safety is at immediate risk. In this case dial 911 (8-911 from most campus telephones). The work order system is referred to as SCHOOL DUDE and is addressed below.
Maintenance & Operations Emergencies and Routing Work Orders
All facility emergencies, e.g. major water leaks, utility outages, sewer backups, immediate safety hazard, fallen trees, obstructed sidewalks, gas odors, or any situation that is a major impact to campus facilities/environment, should be called directly to the M&O office at (925) 424-1760 (Las Positas) or (510) 723-7206 (Chabot) during regular operating hours (6:00 a.m. to 2:30 p.m.). If outside the regular operating hours, during weekends, or on holidays, please contact the Security Office at (925) 424-1699 (Las Positas) or (510) 723-6923 (Chabot). Be as specific as possible when reporting an issue.
SCHOOL DUDE
School Dude is used and accessible by deans and administrative assistants to record all routine maintenance, custodial, and grounds requests. CLPCCD employees should submit all facility maintenance requests through the online School Dude program.
This system works a little different as it allows anyone to write a work request. The request is then automatically routed to the managers designee for the area selected. The work order is then approved before routing to M&O. Please follow the directions below on how to register and log in.(when requested the account number is 1781417472 ). Once registered please follow the next set of directions how to submit a work request. Please remember you only need to register if you are submitting a work request.
How to Register/Log in
If you are submitting your first request, you will need to complete the registration form. Use the instructions under New User to create your account. If you have submitted requests through the MySchoolBuilding page in the past, use the instructions under Returning User to log into your account.
If your organization uses our single sign-on solution to access your SchoolDude products, your administrators will provide you with an organization specific link that you will use to access the MySchoolBuilding portal.

Returning User
- Go to www.myschoolbuilding.com.
- Enter your Email Address and Password. Click Sign In.
- If you have forgotten your password, click the Forgot Password? link and enter your email address. We'll send you instructions for resetting your password.
The Dude Says:

New User

- If you are submitting your first request, you must enter registration information first. Click on the down arrow (

- Enter the Account Number provided by your Administrator.
- Enter your First Name and Last Name, as well as your Phone Number and Email Address.
- Type the Password you would like to use to log into your SchoolDude account and confirm it. The password you choose must be at least 6 characters long.
- Click Register to go to the work order request form.
The Dude Says:

Congratulations you have registered and are now ready to submit a work request. When asked the submittal password is CLPCCD
How to Submit a Work Request

- Make sure you are on the Maint Request tab at the top of the screen.
*Note:Any field marked with a red checkmark () is a required field.
- Step 1:These fields will already be filled in with your contact information according to how it was entered upon registration.
- Step 2: Click on the drop down arrow and highlight theLocation where the work needs to be done. Do the same for Building(if available) andArea. Also, be sure to type in the area description or room number in theArea/Room Numberfield.
- Step 3: Select the Problem Type that best describes the request/issue you are reporting.
- Step 4: Type in a Description of the problem.
*Note: The following fields may or may not be available on your request form depending on how the Administrators have set up the account. Remember to fill out any required fields marked with a red checkmark before submitting your request.
- Step 5: Enter aTime Available for Maintenance when it is convenient for the work to be performed.
- Step 6: Select a Purpose for the work if necessary.
- Step 7: Enter the date you would like to have the work completed by.
- Step 8: Select the Budget that will apply to costs related to this work request.
- Step 9: Attach a file to your request if necessary (i.e. a picture of damage or setup diagram).
- Step 10: Type in your organization's Submittal Password. = CLPCCD
- Step 11: Click the Submit button.
Keys
Keys for file cabinets and doors are to be submitted into School Dude with the lock and key number. Requests for interior and exterior doors will need to be submitted by completing a Key Request form to Security. Currently, only Las Positas College uses this form.
HVAC
The HVAC system maintains room temperatures between 68 and 74 degrees. Adjustments within this range can be made at the thermostat.
Events
Events are coordinated through 25 Live if you have questions or need assistance please contact:

If your event requires heating or cooling, please indicate such on the form. Please have the following information available:
- Name of requester
- Name of event
- Building
- Room number(s)
- Time duration, i.e. starting time/ending time
Custodial Services
Day Crew
The custodians on the day shift clean floors when an emergency arises, check restrooms for paper and required supplies, assist Security unlocking classroom doors, and perform routine housekeeping as time permits. Each campus normally has coverage of two (2) custodians during the day.
Day custodians also take requests for setups for special events. These typically include requests for tables, chairs, and lecturns for departmental events, student union activities, speakers, etc.
Night Crew
The custodial staff provides general housekeeping/custodial service, such as restroom cleaning, restroom sanitizing, and all other forms of cleaning including walls, floors, wastebaskets, classrooms, halls, and trash disposal.
The custodial staff turns off lights in the evening in unoccupied classrooms and offices. The campus buildings are typically locked at varying times dependent upon the building function and opened again at 6:00 a.m., Monday through Friday. To have a building opened at other hours or weekends, please contact Campus Safety.
The custodial department typically provides annual cleaning of carpets in all buildings on campus. However, we understand that there are times where additional cleaning in between may be required due to heavy traffic, events, or other activities. To request carpet cleaning, please submit a work order request.
While staff regularly checks and fills all paper towel, soap, and toilet paper dispensers, sometimes additional service is required. If you see a unit that is empty, please call the M&O office for assistance.
Office Move Checklist
Furniture and equipment moves should be approved and coordinated through the appropriate administrator, who in turn routes the request to the M&O office. All requests should be given as much advance notice as possible.
- M&O work order must be entered into SCHOOL DUDE
- Contact the ITS help desk to relocate your computer and telephone
- Contact Warehouse for moving boxes
- Empty file cabinets and desks
- Label all furniture and equipment
Note: For items that will not be re-used and will be deemed as surplus, you will need to contact the Purchasing department.
Large moves of an entire building or group from one building to another is planned and scheduled through Facilities and completed with moving contractors.
Grounds Services
The grounds staff handles all routine maintenance of trees, shrubbery, lawns, sidewalks, and parking lots. While the staff regularly empties the exterior containers, if you see an exterior recycling or trash container that is full and needs to be emptied, please contact the M&O office.
Water conservation is a very important concern to the district. Please report any problems you might see with our irrigation system, e.g. leaking or misdirected sprinkler heads, erosion around sprinklers, running water, or flooding.
Campus Fleet
Vehicle maintenance staff provides maintenance and repair on all college-owned motorized vehicles and equipment including pickups, vans, and tractors.
The Maintenance department maintains campus fleet vehicles for use by college employees. Campus fleet vehicles are located at both campuses and are comprised of the following:
- 23-25 passenger buses
- 15 passenger vans
- 8 passenger vans
- Electric carts (approval information & program information)
- Trucks (pickups, flatbed, stake bed)
- Lifts (requires specific District training)
The campus fleet vehicles may be used for employee or athletic events, field trips, and certain non-athletic events. Any employee who wishes to operate any college-owned fleet vehicle must provide the M&O office with a current copy of their driver's license and adhere to the class restrictions established by the Department of Motor Vehicles. In addition to verification of driving privileges, you must complete and return the Request for Vehicle Usage form signed by the administrator of your area.
